We are looking for an hands on Office Manager (predominantly) being responsible for all office administration but also undertaking Legal Secretary tasks at busy & demanding times of the business.
The business comprises a Litigation team of 6 fee earners and 1 Legal Secretary situated in newly-renovated Grade A offices in Altrincham.
Dealing with high-value and complex cases.
Work to time-critical deadlines often high pressure environment.
Needs to show experience and ability to work under pressure.
- Ensure smooth running of the office generally and to assist fee earners/support staff
- Greeting Clients
o Receive and seat clients, offer refreshments
- Office Management:
o Open & lock up, parking bollard securing etc
o Fire system check - weekly
o Post in (open, scan and file electronically and hardcopy). Post out to be
taken to Mail Boxes
o Arrange couriers, travel, meetings, restaurant bookings etc
o Supplier invoices (eg Mail Boxes, window cleaner, couriers, fee notes, experts and all
other incoming invoices) to be saved to system and sent to accounts team in Head
o Request cheques from Head Office
o Petty Cash
o Keep office client ready - neat & tidy at all times
o Keep meeting rooms stocked with papers, pens and clear cups/glasses after meetings
o Bins to be taken out for collection and brought back in
o Arrange any maintenance as may be required (eg IT, copiers, software etc)
o Empty individual's shredding boxes to shredding bags and arrange collection with
- Office Supplies
o Stationery: Monitor stock and order stationery
o Water cooler supplies: ordering, arrange maintenance
o Printers: Monitor stock of paper (printer and letter head) order as required. Monitor and order/install print cartridges
o Deal with utilities, provide meter readings when required
- Kitchen Supplies:
o Shop for tea, coffee, milk, biscuits, (beer for Friday!), cordial, dishwasher tablets,
hand wash, toilet roll etc - all kitchen/bathroom supplies. Ensure bathrooms stocked
with toilet roll and hand wash
o Keep kitchen clean and tidy
- Legal Secretary:
o Answering phones, monitor main line voicemail
o Digital dictation typing
o Filing (electronically and hardcopy)
o File Opening (electronically and hardcopy) - including client ID, dealing with client
o File Closing (electronically and hardcopy) - including address, WIP on systems,
disbursements etc. Return client documents and archive file.
o Organising files/papers
o General archiving (scanning and shredding), copying, printing, scanning
Legal Secretary experience required, preferably litigation based roles
Client-facing role, must be professional and presentable
